Privacy Policy
We respect your privacy and only collect what's needed to look after your dog. This policy explains what we collect, how we use it, who we share it with, and the choices you have.
Section 01
Information We Collect
We only collect information that helps us care for your dog and manage your bookings. Specifically:
- Personal information: your name, email, phone number, address, and emergency contact details.
- Pet information: name, breed, age, vaccination records, vet contact, feeding notes, medications, behavioural notes, and photos.
- Account information: login credentials (email + hashed password, or Google sign-in) and your booking and waiver history.
- Payment information: processed securely by our payment processor (Square). We do not store full card numbers on our servers.
- Technical information: basic device and browser data needed to keep you signed in and the site working correctly.
Section 02
How We Use Your Information
We use your information to operate Wilde K9 and provide the services you've requested:
- Manage bookings, schedules, and capacity.
- Keep dogs safe based on health and behaviour notes.
- Reach you about your booking or in an emergency.
- Process payments, refunds, and receipts.
- Send transactional email — confirmations, reminders, and service updates.
- Improve our service quality and operations.
Section 03
Cookies & Tracking
We use a small number of cookies — strictly the ones needed to run the site:
- Authentication cookies — to keep you signed in.
- Security cookies — to protect your account from forgery and tampering (CSRF tokens).
- Preference cookies — small bits of state that remember your choices in the booking flow.
We do not run third-party advertising trackers. You can clear cookies in your browser at any time, but doing so will sign you out.
Section 04
Data Sharing & Disclosure
Our promise
We do NOT sell or rent your personal information.
Your data is never sold to third parties for marketing or advertising.
We only share information when:
- Veterinary emergencies: if your dog requires urgent medical attention, we'll share what's needed with your vet or an emergency clinic.
- Legal requirements: when required by applicable law, court order, or to protect rights and safety.
- Service providers: trusted partners who help us run the site — hosting (Vercel), database (Supabase), email (Resend), payments (Square). They process data only on our instructions and under confidentiality.
Section 05
Data Retention
We keep your information for as long as your account is active, and for a reasonable period after closure to satisfy legal, accounting, and dispute-resolution requirements.
When data is no longer needed, it is deleted or anonymised. You can request deletion at any time — see your rights below.
Section 06
Your Rights & Choices
You have full control over your information. You can:
- Access the personal information we hold about you and your dog(s) directly from your dashboard.
- Correct inaccurate information at any time by editing your profile or your dog's record.
- Delete your account and personal data — contact us and we'll handle it. Some records (e.g. paid invoices) may be retained as required by law.
- Export a copy of your data on request.
- Opt out of any non-essential email. Booking confirmations and safety-related notices are required to operate your account.
Section 07
Security
We use industry-standard safeguards to protect your information: encrypted connections (HTTPS), encrypted-at-rest databases, hashed passwords, role-based access, and regular security reviews.
No system can guarantee absolute security, but we work hard to minimise risk. If you suspect unauthorised access to your account, contact us immediately.
Section 08
Children's Privacy
Our services are intended for adults (18+). We do not knowingly collect personal information from children. If you believe a child has provided us with information, please contact us and we'll delete it.
Section 09
Changes to This Policy
We may update this Privacy Policy from time to time. The most current version is always posted here, and we'll update the "Last updated" date at the top of the page. Material changes will be flagged with a notice on our site or via email when appropriate.
